What is a Privacy Statement?

A Privacy Statement discloses the ways in which the Trust gathers, uses and stores any personal data. It will accompany all Application Forms and is displayed on the Trust's web site.

Why do we need one?

The Trust needs to comply with the new Data Protection (Jersey) Law 2018 and the General Data Protection Regulation (GDPR) and provide information to those who have sent personal data to the Trust.

What personal data does the Trust collect?

Names, addresses and email addresses of applicants to the Trust.

Information about their musical achievements and aspirations.

Their financial means as they relate to their progress towards a career in music.

Reports, letters and messages from teachers and musicians that support those applicants.

Why is this data collected?

To ensure effective communication and to enable the Trustees to make decisions regarding financial support.

How is the data stored?

Any personal data sent to the John Lobb Memorial Trust is collected by the Secretary and held in secure files accessed only by the Secretary. The Trust has maintained strict confidentiality since its founding in 1981. Emails are deleted after one year or when the application to which they relate has ceased.

How is the data used?

Information relevant to the applications to the Trust is viewed by the Trustees, but not retained by them and these communications generally do not contain any personal data such as email addresses. This temporary viewing of the data is done according to the wishes of the applicants or teachers in order to carry out the business of the Trust.

Are the records shared with any other person or organisation?

The stored records may be viewed by the Trustees in order to compile and preserve the history of the Trust and to ensure good governance and fair distribution of grants. No personal data of any particular individual is used in this process. e.g. The records can show how a certain number of applicants were helped in a particular year or how the nature of support given by the Trust varied at different times or how assistance was given proportionally to applicants of various ages or specialising in various instruments.

No personal data is shared or passed on to any other organisation.

By signing the Application Form, each applicant acknowledges they have read the Trust’s Privacy Statement and give permission for the Trust to store data securely and only for its own use.

If an application is made by parents or guardians regarding a student aged 16 or above, the student also needs to give their permission for the data to be stored.
